Job Overview:
We are seeking a highly organized, proactive, and resourceful Executive Assistant to support our executive team and maintain smooth office operations. This individual will play a critical role in ensuring the efficiency and effectiveness of our executive team and office environment. Reporting directly to the CFO, this position requires a dynamic individual who excels in administrative support, operational management, and multitasking. The ideal candidate will be a self-starter with exceptional organizational skills, attention to detail, and the ability to manage multiple priorities with discretion and professionalism.
Onsite - Oakbrook, IL Headquarters
Compensation and Benefits - $75,000-$80,000 plus full suite of benefits (health, dental, 401K, etc)
Key Responsibilities:
Provide administrative support to the CFO and other members of the Executive Leadership Team, including managing calendars, scheduling meetings, and coordinating travel arrangements.
Prepare executive correspondence, reports, presentations, and meeting materials.
Act as a gatekeeper, handling incoming communications and requests with discretion.
Coordinate and support internal and external meetings, including preparing agendas, taking meeting notes, and following up on action items.
Manage and track executive expenses and process reimbursements.
Oversee daily office operations, ensuring a clean, organized, and functional work environment.
Act as the primary point of contact for vendors, service providers, and building management.
Maintain office supplies, equipment, and inventory, placing orders as needed.
Coordinate office events, including team meetings, employee appreciation events, and holiday celebrations.
Implement and maintain office policies and procedures.
Qualifications:
Bachelor’s degree in Business Administration, Communications, or a related field (or equivalent work experience).
2+ years of experience as an Executive Assistant, Office Manager, or similar administrative role.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools (e.g., Asana, Trello) is a plus.
Strong written and verbal communication skills.
Proven ability to maintain confidentiality and exercise discretion.
Exceptional organizational skills with strong attention to detail.
Ability to manage multiple projects and prioritize effectively in a fast-paced environment.
Proactive problem-solving skills with the ability to anticipate needs and offer solutions.
